Privacy Policy

We collect the information a school provides when it registers for a SchoolGate account, including the school name, physical address, district, province and the contact details of the staff who administer the account.

As schools use the platform, they enter learner records, attendance registers, homework, grades and fee transactions. This data is entered and owned by the school and is stored by SchoolGate on the school's behalf.

We also collect basic technical information, such as sign-in times, browser and device type, to keep accounts secure and to diagnose problems.

We use school and learner data only to operate the SchoolGate platform for that school, to provide the dashboards, reports and notifications the school, its staff and its guardians rely on.

Aggregated, de-identified figures may be shared with the Ministry of Primary and Secondary Education for national oversight, in line with each school's participation agreement. We do not sell personal data to any third party.

Learner records concern minors, and we treat them with particular care. Access is limited to the learner's own school, the learner's registered guardians and authorised officials, each through role-based permissions.

Guardians can view only the records of the children linked to their account. Schools remain responsible for confirming guardianship before a guardian is linked to a learner.

Data is encrypted in transit and access to production systems is restricted to a small, audited group of SchoolGate staff.

We retain school and learner data for as long as the school maintains an active account, aligned to the school's own records-retention policy and applicable Zimbabwean education regulations.

When a school closes its account, we work with the school to export its records and then remove the data from active systems within a defined wind-down period.
